A practical workflow

Make an existing PDF ready for upload

This path starts with an existing readable PDF. Keep its original, check the destination's requirements and perform only the operations that address a real problem.

Check pages before final file size

  1. Is your source a readable PDF?

Open it first and check the actual format, size and page requirements. If your source is photographs, make a PDF using the notes workflow first. A damaged, protected or unsupported file may need its original application.

  2. Does it contain unnecessary pages?

If no, skip splitting. If yes, enter the pages to retain. A range such as 1-3 creates one PDF; 1-3,5 creates two separate PDFs in the current Splitter. Check that every required page was retained.

  3. Are there multiple documents or range outputs?

Merge them only if one combined file is required. Put them in the intended order and recheck the page count. If a single PDF is already complete, skip merging.

  4. Does the saved PDF exceed the portal limit?

If no, skip compression. If yes, try Compressor and measure the downloaded result. The tool rewrites PDF structure; it does not downsample embedded photographs or guarantee an arbitrary target size. Retain the better valid original/output if there is no reduction.

  5. Is the file still too large?

Revisit the source document or image encoding, remove only content that the requirements genuinely allow you to omit, or ask the recipient about another accepted route. Repeated compression is not a promise of further savings.

  6. Is the final document complete and usable?

Open the exact output and check page order, legibility, filename, format and bytes. Then upload manually and verify acceptance. Inspect signatures, forms and other important features rather than assuming they survived a rewrite.

A size label is not a guaranteed result

The portal's limit is an acceptance condition, not an input the compressor can always achieve. Even a valid output may remain over that limit. Use the measured saved size, not an assumed compression percentage.

Do not turn a page-selection task into lost content

Write down the pages required before splitting. When a selection creates more than one output, download every part and merge only if the destination requires one file.

Put the choice into practice

Worked example

Starting point
A five-page PDF contains an unwanted page 4; pages 1, 2, 3 and 5 must remain in one file.
Decision and expected result
Split using 1-3,5: one three-page PDF and one one-page PDF. Merge those outputs in that order to obtain a four-page PDF. Compress only if the saved result exceeds the actual upload limit.

What this does not guarantee

  • No guaranteed target byte size or savings percentage.
  • Complex forms, signatures and protected files need individual verification and may require their original software.
  • The final destination determines acceptance; this workflow cannot submit or certify the file.
